Getting started

Overview

Conditional actions is a module in the Table Tools utility of the Legal Productivity Suite for Microsoft Word by Craftware Solutions LLC. It allows you to evaluate column cells based on a plethora of conditions, many of which were taken from Microsoft Excel's conditional formatting workflow. You are able to format the matching cells in the current table or filter the results to a new table.

Column selection

Allows you to specify the column containing the cells to be evaluated.

Evaluation column

Fifteen columns are available for your selection. You will be notified if you attempt to process a table with less columns than the option you select.

Start row

Allows you to specify where the application should start evaluating cells in the column selected above. As an example, if the table has two header rows, you can select Row 3 to instruct the application to begin at the third row.

Conditions

Allows you to specify conditions for each cell in the column you select above to be evaluated on.

Evaluation condition

Sets the criterion to evaluate cell content on. Beginning with the starting row selected above, each cell in the evaluation column will be reviewed against this condition.

Blank cells

Returns a successful evaluation for cells without cell content. Use the accompanying toggle selection to specify if cells containing only spaces, hard or soft returns, tabs, etc. should be considered empty.

This condition disables several available actions that wouldn't be useful for cells without content (e.g., exporting blank cell contents as a list or new table).

Non-blank cells

Returns a successful evaluation for cells with text in them.

Duplicate cells (all occurrences)

Returns a successful evaluation for cells with content that's repeated in another cell in the evaluation column.

Duplicate cells (recurrences only)

Returns a successful evaluation for cells with content that's repeated after the first. As an example, if there were duplicate records in table rows 4, 20, 28 and 34, then only rows 20, 28 and 34 would evaluate as true for this condition (i.e., all duplicate records after the first occurrence).

Cells containing specific content

Returns a successful evaluation for cells that contain content you specify. If you enter multiple items for review using a new line for each item or separating them with a semicolon, you have the option to further specify if any or all of the items you enter appear in a cell.

Cells without specific content

Returns a successful evaluation for cells that contain any of the items you list in the field that appears.

Cells with only numbers (including currency)

Returns a successful evaluation for cells that contain numerical values. Currencies and the percentage symbol are ignored for this evaluation.

Values greater or less than an amount

Returns a successful evaluation for cells that contain a numerical value that's more or less than a numerical value you specify.

Cells shaded any color (excluding white)

Returns a successful evaluation for cells that are shaded any color except white.

Cells shaded a particular color

Returns a successful evaluation for cells that are shaded the same color you specify in the accompanying color palette.

Cells containing bold font

Returns a successful evaluation if bold font formatting is applied anywhere in the cell.

Cells containing italic font

Returns a successful evaluation if italic font formatting is applied anywhere in the cell.

Cells beginning with specific text

Returns a successful evaluation for cells that begin with specific text. You can use new lines or semicolons to enter multiple entries. If multiple entries are entered, a cell will be evaluated as true if the cell begins with any of the listed entries.

Cells ending with specific text

Returns a successful evaluation for cells that end with text you specify. As an example, if you're reviewing a column of dates, entering 2023, 2024 and 2025 (separated with new lines or semicolons) would return all cells with content ending in any of the three years.

Cells with largest numerical value

Returns a successful evaluation for cells that contain the largest numerical value. If there are multiple cells containing the largest numerical value, all of them will be processed with the action you select.

Cells with smallest numerical value

Returns a successful evaluation for cells that contain the smallest numerical value. If there are multiple cells containing the smallest numerical value, all of them will be processed with the action you select.

Actions

Allows you to specify what action should occur when cells meet the evaluation condition you selected.

Action to perform

Sets the action to be performed when a cell within the evaluation column matches the condition selected above.

Shade cell

Specifies the shading color to apply for cells that match the selected evaluation condition.

Shade the entire row

Shades the entire row containing the cell matching the evaluation condition.

Apply a font color

Applies a font color of your selection to the matched cells.

Apply font formatting

Applies font formatting as selected to the matched cells. Options include bold, italic, underline and highlight.

Delete cell contents

Clears all of the content from the cell so it becomes blank.

Delete entire row

Deletes the entire row containing the cell with the matching evaluation condition.

Insert text

Inserts text you specify for each match. Text can replace the cell's content or be inserted at the beginning or end of content currently in the cell, if any.

Insert a comment

Inserts a Microsoft Word comment, for each match, with the text you specify.

Insert a footnote

Inserts a Microsoft Word footnote, for each match, with the text you specify.

Insert an endnote

Inserts a Microsoft Word endnote, for each match, with the text you specify.

Export as a semicolon-separated list

Exports the content of all cells containing a match to a list separated by semicolons under the table. Our list comparison module in the Content Compare utility can be used to compare lists with new line characters and semicolons.

Filter cell content to a new table

Creates a new table containing only the content from the cell with matches to the evaluation condition.

Filter entire row to a new table

Creates a new table with the entire row containing the matched evaluation condition cell. The newly created table will have as many rows as there were matches.
